How to choose field service software
A software decision should begin with a map of how work moves from lead to payment. Write down each handoff: inquiry, qualification, site visit, estimate, approval, scheduling, assignment, field documentation, invoice, payment, review request, and repeat service.
Step 1: quantify the problem
Estimate the hours, lost leads, scheduling errors, payment delays, or rework caused by the current process. A measurable problem creates a rational software budget.
Step 2: define required workflows
Create a short list of workflows the product must complete. Avoid a feature wish list copied from vendor pages.
Step 3: test with real data
Use a sample customer and a realistic job. Test the mobile experience, customer-facing messages, exports, and support response.
Step 4: calculate total annual cost
Include base plans, users, add-ons, implementation, payment processing, phone numbers, texting, and integration fees.
Step 5: plan the exit
Confirm that customer, job, invoice, and payment data can be exported. Document how records would move if the business changes platforms.
