Contractor software implementation checklist

Before setup

  • Name the owner of the implementation.
  • Export and back up customers, jobs, estimates, invoices, products, services, and payment records.
  • Document the current lead-to-payment process.
  • Decide which records will be imported and which will remain archived.
  • Choose a launch date outside the busiest week of the month.

Configure the system

  • Business details, taxes, payment terms, and document numbering
  • Services, products, prices, and default descriptions
  • User roles and access
  • Customer messages and reminder timing
  • Accounting and calendar integrations
  • Payment settings and deposit rules

Test before migration

  1. Create a test customer.
  2. Build and approve an estimate.
  3. Schedule and assign a job.
  4. Add field notes and photos.
  5. Create an invoice and record a payment.
  6. Run required reports and export the data.

First 30 days

Track missed steps, duplicate entry, support questions, payment timing, estimate acceptance, and the number of jobs completed without manual workarounds. Use those findings to decide whether to keep, change, or cancel the system before a longer commitment.
